You would think that it is nearly impossible to organize and run a networking event with an almost zero budget. But believe it or not, it is very possible. Trust me, I’ve been there and done that. However, you might need to bring with you lots of patience and determination because it could be very tough. Well, as long as you have it, there’d be no problem. So, start working closely on your event and do your best to meet all the deadlines you have set. Aside from that, here’s what you need to do.

You Need a Unique Concept

If you have already come up with a concept, then awesome. But we suggest that you be open to the idea of enhancements, modifications, and development. Once the concept is finalized, you can progress to implementing every single detail of it, including collaboration, partnerships, location, technologies , and design.

Who Is Coming?

Okay, this part is something you should never underestimate. Your audience could help you find the right partners and sponsors. If you want to know your audience, ask these questions:

  • What groups of individuals will attend?
  • Is my event intended for businesses or individuals?
  • Can students attend?

Prepare an Agenda

The concept is done. The audience is also determined. Now, it’s about time to think of your event’s agenda. Are you planning to run a whole day event? Is it going to last a few weeks? Do you have some speakers in mind? Depending on your answers to these questions, you can easily find a venue, a sponsor, and a partner for your event.

Location, Location, Location

Of course, no event will be successful without a venue, unless you are holding a webinar. If you are planning a whole day event, a massive center is the perfect venue, but if you are having a workshop-style event, it is best to have a place that allows close collaboration of guests. But always remember that your goal is to deal with a venue owner with a common interest. That way, you can negotiate using the place for free, or at least at a discounted price.

Find Speakers Who Will Talk for Free

Yes, you can definitely attract speakers to do a free talk during your event. All you have to do is have an event plan that aims to show inspiration and passion. Also, let them know the perks of speaking at your event, such as a bigger following after the event. Although the benefits differ from one speaker to another, the most common advantage is perhaps the advertising opportunity.

You Want the Right Partners

While it sounds difficult to do, you can actually find partners for your event without having to do a lot. You can contact companies that sell food, water, or coffee to provide food and refreshments for your event. For the design of the venue, you can work with professional designers who are looking to expand their portfolio. It’s that easy.

Find Appropriate Sponsors

Before you send out sponsorship letters, it is best that you consider whether the organization or company is interested in sponsoring your event. They’d only be interested in your event when they feel that there is a venue to promote their name or brand.

Use Social Media

When we talk about advertising, we often back out thinking that it is going to be very expensive. But nowadays, there are many ways to get around offline and online marketing and advertising without having to spend even a dollar. There is social media. There are also blogs where you can share compelling content. You can use these channels to spread the news about your event.

Grab Some Volunteers

It would be difficult to run an event if you are alone. So, it is best that you do it with a group. And since we can’t afford to pay for a team to work closely on all the details, it would be a wise idea to find volunteers. If you are going to ask where to find them, again, the Internet is a great place to start. Create an advertisement on your social media accounts and share about the perks of volunteering for you. After that, expect loads of queries from applicants wanting to become a part of your event.

Go

You are all set. The final step is to do a dry run before the event itself. By doing that, you will be prepared to answer possible questions and make adjustments based on circumstances.

Considering these tips, we’ve thought that one doesn’t really need a background in event planning to be able to run a successful event. As long as you have the determination and passion for organizing and planning, then everything is possible. You can run your own event even if you don’t have a budget at all.
